The Patient Guide, which is a legal document required by the Care Standards Act 2000 and the Independent Healthcare (Wales) Regulations 2011, is designed to be read, easily understood, and available to a wide spectrum of people including patients, relatives and visiting professionals. It is intended that the guide will be reviewed annually unless circumstances dictate that it should be reviewed earlier.

Welcome to our Infiniti Healthcare Patient Guide

Summary of the Statement of Purpose

Led by two consultants in Urogynaecologists and Reproductive Medicine Mr Kiron Bhal and Mrs Nadia Hikary-Bhal, Infiniti Healthcare offers personalised gynaecology care for women which are outlined below;

  • Early pregnancy scans
  • General gynaecology services
  • Urogynaecology
  • Fertility services
  • Relevant private prescriptions are issued
  • Temperature Controlled Radiofrequency treatment for vulvovaginal conditions
  • Plasma Rich Platelet treatment for gynaecological conditions
  • Administration/Storage of medication for relevant medical conditions

Services are provided in a calm, private and comfortable setting. The clinic building is in a quiet corner of Cardiff Gate, alongside the Royal Pharmaceutical Society Wales. Ample, flat car parking is available, with flat surface access to the clinic building. Lift access is available to all floors, along with separate male/ female/ disabled bathroom facilities.

A spacious waiting room is available for patients. Two large consulting/scanning/treatment rooms are available along with two further consulting/treatment rooms. The building is shared with Innermost healthcare. The administrative offices for Infiniti Healthcare are based on the ground floor which also houses a conference a meeting room and offices for Innermost healthcare. There is free internet access for patients on the premises. There is also a lift access to the second floor.

Effective and timely communication with the referral practitioner (NHS/otherwise) for patients is maintained where appropriate.

It is made clear on all communication to our patients, if you have been referred by your GP or any healthcare provider a copy of the consultation letter will be automatically sent to the referrer. If you are a self-referring patient, no copy will be sent, and you may wish to take a copy of this consultation letter to your GP. Should you wish us to write to your GP or any other healthcare provider personally, there is a charge which can be found on our website. All patients are strongly encouraged to continue their relationship with NHS services as required.

Terms and Conditions in respect of services offered to patients

  • Hours
    The administrative aspect of the clinic is open Monday – Thursday between 9am and 5pm, and 9am to 3 pm on Friday. this allows flexibility of appointment times to be facilitated for patients. The clinic times for patients are usually between these hours however on occasions there are also evening or weekend clinics where appropriate or depending on the consultant/practitioner availability. Please note that some individual consultants will have specific availability in line with their NHS commitments – patients are given appointment times to reflect this.
  • Out-of-Hours
    Patients needing urgent attention outside of Infiniti Healthcare working hours should contact their GP or emergency services. We do not offer an emergency cover service and will not be available to answer calls or respond to queries outside of the clinic working hours.
  • Consultations
    Different services require different consultation durations. Consultations are therefore booked for specific lengths of time, and this is confirmed upon booking.
  • Results of Investigations
    Results of tests and investigations can take up to 2 weeks. Patients are informed of the results by telephone/email or during a booked consultation. A copy of the results is usually sent to the patient’s GP or referral practitioner when they are referred by them.
  • Payments
    An up-to-date schedule of fees is available on the website. Please feel free to contact us and confirm the specific cost of the care you would like to receive. It is a requirement of the clinic that no care is provided unless the patient has been informed of the charges that will be incurred and has given their informed consent.

    Consultations and treatments are secured by providing your credit card details in advance of your scheduled appointment.

    Most patients pay using a debit or credit card details of which are held by us.

    NOTE: This applies to both self-funding and insured patients.

  • Cancellations
    All cancellations must be made 72 hours before the appointment, within (excluding weekends)

    Our cancellation charges are as follows:
    72 – 48 hours to appointment       75% refund,
    48 hours to appointment                50% refund,
    day of the appointment                  no refund

    If you do not advise us of your non-attendance you will not receive a refund or be able to use the payment towards a new appointment.

    If you need to reschedule an appointment, please do so as soon as possible. In this case, all consultation fees must be redeemed within 6 months of the initial booking.

    The only exception to our cancellation policy is emergency hospital admissions.

    IMPORTANT NOTE: Our cancellation policy applies to insured patients. Failure to attend your appointment without notice will lead to the full amount being charged.

    Please note that the schedule of fees is usually refreshed annually on the 1st of April although if this is changed in the meantime then an updated version of this document will be uploaded on the website.

Arrangements for Dealing with Complaints

Infiniti Healthcare operates a Complaints Policy; Mr Bhal investigates and responds to all complaints. We aim to respond with a report to all complaints within 28 days but if we are unable to meet this timescale, the delay will be explained, and a revised date provided. The Policy is available for download from the website and copies can also be provided upon request.

Making a complaint does not prejudice a patient’s right to complain to Healthcare Inspectorate Wales (HIW).

Fair Processing Notice- Data Protection Act 1998

This notice provides you with information about how we use and manage the information we have about you, including how we share it and how we maintain confidentiality.

What is personal data?
Personal data is information that relates to a living individual who can be identified from that data.

Why do we collect information about you?
Infiniti Healthcare keeps records about the health care and treatment you receive as one of our patients. This helps to ensure that you receive the best possible care from us. It helps you because:

  • Accurate and up-to-date information assists us in providing you with the right care
  • Full information is readily available if you see another doctor or are referred to a specialist or another part of the NHS.

The Data Protection Act 1998
The Data Protection Act 1998 governs the processing of personal data held on computer systems and in other formats. It restricts how we can use an individual’s data and consists of eight Data Protection Principles that must be applied when processing personal data. Organisations that process personal data must register as a ‘data controller’ and notify the Information Commissioner (ICO) why they need to process the data.

Infiniti Healthcare is the data controller of personal information that is collected by us to help us provide and manage healthcare to our patients. Full details of all the purposes to which data may be put are listed at the ICO website (https://ico.org.uk/ESDWebPages/Entry/ZA442366). Infiniti Healthcare is registered with the Information Commissioner. The registration number is ZA442366 (expiry 28.08.2024). Each consultant will also be expected to have their own ICO document.

What kind of information do we hold about you?

  • Name, address, date of birth, NHS Number and next of kin
  • Contacts we have had with you such as clinic visits
  • Details of diagnosis and treatment
  • Allergies and health conditions.

Information is stored on secure computer systems with a separate network password and a clinical database password. The database itself is continuously backed up onto two RAID drives in the secure part of the server.

How may information about me be used?
It will be used by members of staff treating you. Some information, such as your name and address, may be used to make appointments for your care. You may be receiving care from other people as well as Infiniti Healthcare; we may therefore need to share some information about you. Normal practice is to copy all correspondence to your GP, and for obstetric patients, the lead NHS provider for your pregnancy. If you do not wish this to happen, please let us know. Anyone who receives this information is also under a legal duty to keep it confidential unless you agree otherwise.

If you make a complaint, those investigating the complaint will be able to see your records.

We will not disclose any health information to third parties without your explicit consent, unless there are exceptional circumstances, such as when the health or safety of others is at risk or where the law requires it.

We may also be asked by other public bodies, such as the Police, to share basic information about you, such as your name and address, which does not include sensitive information from your health records. Generally, we would do this to assist them to carry out their statutory duties. In these circumstances, where it is not practical to obtain your explicit consent, we are informing you through this notice, which is referred to as a Fair Processing Notice, under the Data Protection Act.

We may use your details to contact you with patient satisfaction surveys relating to services you have used. This is to improve the way we deliver healthcare to you, our patient.

You have the right to refuse / withdraw consent to information sharing at any time. The possible consequences will be fully explained to you and could include delays in receiving care.

Can I see my information?
Under the Data Protection Act 1998 a person may request access to information (with some exemptions) that is held about them by an organisation. This is known as the Right of Subject Access. You should start by asking the person in charge of your care. The Access to Health Records Act 1990 also allows access, in certain circumstances, to information that we hold on deceased patients.

How long do we retain your records?
All our records are destroyed in accordance with the Independent Health Care Regulations (Wales) 2011 Retention Schedule, which sets out the appropriate length of time each type of record is retained. We do not keep your records for longer than necessary. All records are destroyed confidentially once their retention period has been met.
